Job Summary
The HR Team Lead is responsible for overseeing the day-to-day operations of the recruiting and onboarding function for caregivers, including direct supervision of HR Coordinators and a Field Recruiter. This role ensures efficient, compliant, and timely onboarding processes while driving team performance, optimizing workflows, and supporting strategic hiring initiatives.
The Team Lead provides hands-on leadership, coaching, and accountability to ensure hiring goals are met, onboarding timelines are maintained, and a high-quality candidate experience is delivered. This role partners closely with Operations and other departments to align hiring efforts with organizational needs.
Key Responsibilities
Team Leadership & Performance Management
- Supervise, coach, and support a team of HR Coordinators and a Field Recruiter to ensure productivity, accuracy, and accountability.
- Conduct regular one-on-ones and team meetings to review caseloads, performance metrics, and priorities.
- Provide ongoing training, including refresher sessions, to reinforce best practices and process adherence.
- Monitor individual and team performance, providing actionable feedback and implementing performance improvement plans when needed.
Onboarding & Compliance Oversight
- Oversee the full onboarding lifecycle, ensuring all caregiver applications meet regulatory and company compliance standards.
- Review completed applications for accuracy, completeness, and timely processing to support efficient caregiver activation.
- Ensure all onboarding activities (including exams, orientation, and fingerprinting) are completed without delays.
- Maintain accurate tracking systems (e.g., Smartsheets) to ensure visibility and accountability across all onboarding stages.
Workflow Optimization & Process Improvement
- Monitor recruiting and onboarding workflows to identify inefficiencies, bottlenecks, and gaps.
- Develop, implement, and maintain standardized processes and documentation (process guides, SOPs).
- Drive continuous improvement initiatives to enhance turnaround times, quality, and team efficiency.
Recruiting Strategy & Pipeline Management
- Oversee job postings (e.g., Indeed) and ensure they are current, competitive, and aligned with hiring needs.
- Track and analyze recruiting metrics, including applicant flow, conversion rates, and time-to-hire.
- Ensure timely and consistent follow-up on all candidate leads.
- Identify and implement alternative sourcing strategies and outreach initiatives to expand the candidate pipeline.
- Partner on marketing campaigns and incentive programs to attract and retain caregivers.
Cross-Department Collaboration
- Collaborate with other departments to align hiring priorities with business needs.
- Communicate onboarding timelines, challenges, and progress to key stakeholders.
Additional Responsibilities
- Support broader HR initiatives and projects as needed.
Qualifications
- Minimum of 3–5 years of experience in recruiting and onboarding, preferably within a homecare or healthcare setting.
- At least 1–2 years of experience in a supervisory or team lead role.
- Excellent communication and interpersonal skills with the ability to collaborate cross-functionally.
- Strong organizational skills with ability to work in a fast-paced environment with tight deadlines.
- Data-driven mindset with experience tracking and analyzing recruiting and onboarding metrics.
- Ability to handle sensitive situations with professionalism and sound judgment.
- Strong attention to detail and commitment to accuracy and compliance.
- Proactive, solution-oriented mindset with a focus on continuous improvement.
- Proficiency in ATS systems, job boards (e.g., Indeed), HRIS platforms, and workflow tracking tools such as Smartsheet or similar systems.
